Official Rules

The HealthLeaders Media Marketing Awards is an annual contest that recognizes the best hospital marketing campaigns. By entering, entrants agree to be bound by these Official Rules.

1. Entry preparation and deadline

The entry submission period is open from March 1, 2008 through May 30, 2008. Visit the official HealthLeaders Media Marketing Awards Web site, www.healthleadersmarketingawards.com, to download the official Campaign Entry Submission Form and Instructions. Entries must be postmarked no later than May 30, 2008, and entry fees must also be received by that date. Use a new Entry Submission Form for each campaign entered into the contest. Submit two copies of the Entry Submission Form with each entry, including all attachments. You may submit multiple campaigns for consideration; however each individual campaign may only be entered into one category. Incomplete entry forms may be disqualified.

Include press-ready PDFs of your print collateral. When submitting press-ready files, adhere to the following requirements:

  • Embed all fonts and font subsets
  • Convert all color to CMYK color space (US Web Coated SWOP v2 CMYK profile preferred)
  • Full bleed documents should include a .125" bleed (with .125" offset crop marks)
  • All graphics should be at high resolution (300 dpi)

Include two sets of unmounted examples of each campaign piece, affixed with "tags" using removable tape (tags are on p. 5 of the Entry Submission Form). Send electronic copies of your campaign materials--plus any TV or radio spots--on a CD or DVD. Attach a "tag" to your CD or DVD using removable tape.

2. Entry fees

Each entry requires a non-refundable entry fee. The price per entry is $195 per campaign. (You may submit multiple campaigns for consideration; however each individual campaign may only be entered into one category and requires its own entry form and entry fee.) Fill in the payment coupon on p. 4 of the Entry Submission Form. Payment may be made by credit card or by check. Checks may be made payable to HealthLeaders Media. You will receive an invoice if you choose the "Bill Me" option on the payment coupon.

 

3. Eligibility

Campaigns must have been launched between January 1, 2007 and December 31, 2007 (Note: "launch" refers to the actual rollout of the campaign, not when work on the campaign commenced.)

The contest is open to hospitals and organizations producing hospital advertising located within the United States. Designated representatives submitting entries agree to the release of their names, addresses, and email information to HealthLeaders Media for winner notification purposes and for public winner disclosure. Contest is void where prohibited by law and regulation, and is subject to all applicable Federal, State, and local laws and regulations.

Winning entrants grant HealthLeaders Media the right to reproduce images of their work in the 2008 Hospital Campaigns That Work book, in HealthLeaders Media marketing and promotional pieces, in displays at the HealthLeaders Media Marketing Awards event, on HealthLeaders Media Web sites and in other digital and printed materials. Entrants represent that all entries are original and are the works and property of the entrants, with all rights granted therein. HealthLeaders Media is not liable for any copyright infringement on the part of entrants and will not become involved in copyright disputes. Entrants agree to defend, indemnify and hold HealthLeaders Media and its parent, HCPro, Inc., harmless from any and all claims arising from the use or publication of submitted materials. HealthLeaders Media will notify all winners by e-mail at the end of the judging process, scheduled for July 2008. HealthLeaders Media will not return any entries, which become the property of HealthLeaders Media.

4. Verification

Entries judged as finalists after initial screening will be subject to individual verification by HealthLeaders Media. Verification will determine eligibility of each finalist entry for inclusion in successive rounds of judging. Each finalist entry will be reviewed to determine whether the entry is valid, e.g., that the hospital or agency represented by the submitted entry is a currently operating entity. Ineligible entries will be disqualified and entry fee forfeited.

 

5. Judging

Eligible entries will be judged on the following criteria, with equal eight given to each, in all rounds of judging. Up to 5 points may be awarded to each entry, as follows:

  • Overall quality and look of campaign (5 points)
  • Overall creativity of campaign (5 points)
  • How well the campaign conveys its message and reaches its intended audience, as stated in the written submission description (5 points)
  • How well the campaign meets its intended marketing objectives, as stated in the written submission description (5 points)

Contest judges may disqualify any entry found, in their sole discretion, to be unsuitable (whether because it includes inappropriate language or content, contains inaccurate or fraudulent statements, exhibits an obvious lack of effort, or for any other reason). Entry fees for disqualified entries are forfeited.

Entries will be judged according to the criteria listed above, by a panel of experts selected by HealthLeaders Media. Judging will take place between June 1, 2008 and June 30, 2008, to determine the finalists, based on a review using the established criteria. In the event of a tie in any of the judging rounds, the tied entries will be rejudged using the identical criteria until the designated number of finalists and winners are determined. If any entry appears to have been submitted in an incorrect category, HealthLeaders may designate it for consideration in a different category, after consulting with the submitting representative. If fewer entries than awards offered are received in any award class or category, size classes may be combined, or the category may not be judged, and those entries applied to another applicable category, as determined at the sole discretion of HealthLeaders Media. Entry fees will not be refunded.

Potential finalists will be contacted by email from HealthLeaders Media to the address supplied during the entry process for the main contact person. Finalists will be announced in July 2008. Winners will be announced at the HealthLeaders Media Marketing Awards live event in Chicago on Oct. 15, 2008.

 

6. Awards

A total of up to 133 awards will be offered: Platinum, Gold, Silver, and Distinction Awards will be presented in each of three (3) sizes of hospitals:

  • Small (fewer than 100 beds)
  • Medium (101-499 beds)
  • Large (500 or more beds)

The Award categories are as follows: Best Branding Campaign, Best Direct-to-Consumer Campaign, Best Marketing to Physicians Campaign, Best Marketing of Quality Campaign, Best Service Line Marketing Campaign, Best Internal Communications Campaign, Best Integrated Marketing Campaign, Best Children's Hospital Campaign, Best Community Relations Campaign, Best Use of New Media, and Best Failure to Launch. In addition, one (1) campaign from all entries will be chosen by the judges for the Best in Show Award.

Each winning entry's organization will receive one (1) complimentary award, plus recognition of their achievement at the Awards Event in Chicago on Oct. 15, 2008. Winners will be included in the annual yearbook of winning campaigns, published by HealthLeaders Media, and will be recognized in coverage of the event in HealthLeaders magazine. No transfer of awards permitted. Winning organizations are responsible for any additional expenses or costs connected with their participation in the contest or the Awards Event, including travel, lodging, meals, and gratuities and other incidentals.

7. Limitation of liability

HealthLeaders Media and its affiliates are not responsible for typographical errors in any contest-related materials; for lost, late, misdirected, incomplete, or illegible entries; for technical, hardware, software, Internet, or telephone failures of any kind that may limit or interfere with a participant's ability to take part in the contest. HealthLeaders Media reserves the right to cancel or modify the contest if fraud or technical failure compromise the integrity of the promotion, or corrupt or impair the administration, security, fairness, or proper play of the contest, as determined by HealthLeaders Media in its sole discretion. HealthLeaders Media and its related companies, agencies, and their respective employees or officers shall not be liable for injury, losses, damages, or costs of any kind resulting from participation in this contest, or acceptance of or use or misuse of a prize or parts thereof. HealthLeaders Media may prohibit any entrant from participating in this contest or any future promotion, if, in the sole opinion or HealthLeaders Media, such entrant (i) has tampered with the entry process or the operation of the contest, (ii) repeatedly shows a disregard for the rules, or (iii) acts (a) in an unsportsmanlike manner, (b) with an intent to annoy, abuse, threaten, or harass HealthLeaders, or any other entrant, or (c) in any other disruptive manner. The contest may be terminated at any time after its commencement without prior notice; however, if such termination should occur, awards will be presented to winners judged from valid entries received.

8. Winners list

The list of winning organizations will be released in July 2008. HealthLeaders Media may publish the list on its Web sites, including www.healthleadersmarketingawards.com, enewsletters, other published materials, and in email promotions.

9. Sponsor
